The Olot Calendar may collect information you provide directly, information created while using the app, and information needed to provide app features. This may include:

• your email address
• account login details
• calendar events, meetings, appointments, reminders, and schedule information
• saved locations and meeting room details
• trusted contact details used for Olot Button
• emergency alert messages created for Olot Button
• location information, if you allow location access
• Olot PA chat messages and calendar-related requests
• app settings and preferences
• device, app usage, and technical information needed to operate and improve the app

2How we use your information

We use your information to provide and improve The Olot Calendar. This may include using your information to:

• create and manage your account
• show your calendar, events, meetings, appointments, and reminders
• help you create, update, or organise calendar items
• connect supported calendar accounts
• save and suggest locations you use often
• provide Olot PA calendar assistance
• support Olot Button emergency alerts to selected trusted contacts
• send notifications and reminders
• help detect schedule conflicts or availability
• provide customer support
• improve app performance, security, and reliability
• meet legal, safety, and compliance requirements

3Calendar data

If you connect a supported calendar account, The Olot Calendar may access calendar information needed to display and manage your schedule inside the app. This may include event titles, dates, times, attendees, locations, meeting links, reminders, and related calendar details.

The Olot Calendar uses this information to provide calendar and scheduling features. We do not use your calendar data to sell advertising.

4Olot PA

Olot PA may use your calendar-related information and chat messages to help you understand your schedule, check availability, detect conflicts, draft changes, and prepare calendar actions for your approval.

Olot PA is designed to support calendar-related tasks. Important calendar changes should require your confirmation before they are applied.

5Olot Button

Olot Button is a safety-support feature that lets you alert selected trusted contacts when you need help. If you use Olot Button, The Olot Calendar may process:

• your selected emergency alert message
• your selected trusted contacts
• trusted contact invitation status
• alert status
• location information, if location sharing is enabled

Olot Button alerts are sent only to your active trusted contacts.

6Location information

The Olot Calendar may use location information if you allow location access on your device. Location may be used to:

• help save or complete location details
• support saved locations
• include your location in an Olot Button alert, if you enable location sharing

For Olot Button, your location is used only when an alert is sent and location sharing is enabled. The Olot Calendar does not use Olot Button location sharing for continuous background tracking. Location accuracy may depend on your device, settings, network, and location permissions.

7Saved locations

You may save locations such as offices, meeting rooms, addresses, or places you use often. Saved locations are used to make future event creation and scheduling easier. You can manage saved locations inside the app where this feature is available.

8Trusted contacts

If you use Olot Button, you may invite selected people to become trusted contacts. Trusted contacts must accept your invitation before they can receive your Olot Button alerts. Trusted contact information is used only to support the trusted contact and emergency alert features.

9Notifications

The Olot Calendar may send notifications for reminders, meetings, calendar updates, Olot Button alerts, trusted contact invitations, and other app-related updates. You can manage notification permissions through your device settings and, where available, inside the app.

10Third-party services

The Olot Calendar may work with third-party services such as sign-in providers, calendar providers, meeting platforms, maps, app stores, payment providers, analytics tools, and notification services. Examples may include Google, Apple, Microsoft, Zoom, Google Meet, Microsoft Teams, or similar services, depending on the features you use.

These third-party services are governed by their own privacy policies and terms. Olot Technologies is not responsible for the privacy practices of third-party services.

11Subscriptions and payments

The Olot Calendar may offer subscriptions, free trials, or paid features. Payments and subscription management may be handled by the relevant app store or payment provider. Olot Technologies may receive limited subscription status information needed to manage access to paid features.

We do not store full payment card details inside The Olot Calendar unless this is handled securely by an approved payment provider.

12How we share information

We do not sell your personal information. We may share information only when needed to:

• provide app features you choose to use
• connect with supported calendar, sign-in, meeting, map, notification, or payment services
• send Olot Button alerts to your active trusted contacts
• comply with legal obligations
• protect the safety, rights, and security of users, Olot Technologies, or others

13Data storage and security

We take reasonable steps to protect your information against unauthorised access, loss, misuse, or alteration. However, no app, system, or internet service can be guaranteed to be completely secure. You are responsible for keeping your account details secure and for using strong passwords where applicable.

14Data retention

We keep your information only for as long as needed to provide the app, support your account, comply with legal obligations, resolve disputes, improve security, and operate the service. Some information may be deleted when you delete your account or remove it from the app. Certain information may need to be kept for legal, security, billing, or compliance reasons.

15Your choices and rights

Depending on your location and applicable law, you may have rights to:

• access your personal information
• correct inaccurate information
• delete your account or request deletion of your data
• withdraw consent where processing is based on consent
• disconnect calendar accounts
• disable permissions such as location, contacts, or notifications

16Account deletion

If you create an account, The Olot Calendar will provide a way to request or start account deletion. Deleting your account may remove access to your profile, saved information, calendar connections, Olot PA history, Olot Button setup, trusted contact settings, and other app-related data, unless some information must be kept for legal, security, billing, or compliance reasons.

17Children

The Olot Calendar is not intended for use by children unless this is clearly allowed by the app age rating, local laws, and applicable platform rules. If we become aware that personal information has been collected from a child without required consent, we will take reasonable steps to delete that information.

18International use

The Olot Calendar may be used in different countries. Your information may be processed or stored in countries other than where you live, depending on the services, hosting providers, and third-party tools used to operate the app. Where required, we will take reasonable steps to protect your information in line with applicable data protection laws.

We may update this Privacy Policy from time to time. If we make important changes, we may notify you through the app or another appropriate method. The latest version will be available inside the app and, where required, on the official Olot website.
