Privacy Policy
This Privacy Policy explains how The Olot Calendar collects, uses, stores and protects your information when you use the app. The Olot Calendar is developed by Olot Technologies (Pty) Ltd. By using The Olot Calendar, you agree to the collection and use of information as described in this Privacy Policy.
1Information we collect
The Olot Calendar may collect information you provide directly, information created while using the app, and information needed to provide app features. This may include:
- your name
- your email address
- account login details
- calendar events, meetings, appointments, reminders, and schedule information
- saved locations and meeting room details
- your username and profile picture, if you add one
- contacts you add to your own contacts list (name and email address)
- the names and email addresses of people you invite to events
- files you attach to events
- trusted contact details used for The Olot Button
- emergency alert messages created for The Olot Button
- location information, if you allow location access, including live location during an alert if you turn it on
- Olot PA chat messages, voice notes, and calendar-related requests
- app settings and preferences
- device, app usage, and technical information needed to operate and improve the app
2How we use your information
We use your information to provide and improve The Olot Calendar. This may include using your information to:
- create and manage your account
- show your calendar, events, meetings, appointments, and reminders
- help you create, update, or organise calendar items
- connect supported calendar accounts
- save and suggest locations you use often
- provide Olot PA calendar assistance
- support The Olot Button emergency alerts, live location, and emergency calls to selected trusted contacts
- share event details and attachments with the people on an event
- let other Olot users find you by your name or username so they can invite you
- send notifications and reminders
- help detect schedule conflicts or availability
- provide customer support
- improve app performance, security, and reliability
- meet legal, safety, and compliance requirements
3Calendar data
If you connect a supported calendar account (Google, Microsoft Outlook, Apple iCloud, or the calendar on your Android phone), The Olot Calendar may access calendar information needed to display and manage your schedule inside the app. This may include event titles, dates, times, attendees, locations, meeting links, reminders, and related calendar details.
The Olot Calendar uses this information to provide calendar and scheduling features. We do not use your calendar data to sell advertising.
If you connect the calendar on your phone (Android calendar or Apple iCloud), the sync works both ways: events you create in The Olot Calendar are written into that calendar, changes made in either place are mirrored to the other, and a deletion on one side is applied to the other. Olot is the home copy of your calendar and, where both sides change the same event, the Olot version is kept.
4Olot PA
Olot PA may use your calendar-related information and chat messages to help you understand your schedule, check availability, detect conflicts, draft changes, and prepare calendar actions for your approval.
To answer you, Olot PA sends your message and the calendar details it needs (such as your upcoming events, saved locations, and contacts) to a third-party AI provider, currently Anthropic. Your Olot PA chat history and voice notes are stored on your device, not on our servers. Recording a voice note needs microphone permission.
Olot PA is designed to support calendar-related tasks. Important calendar changes require your confirmation before they are applied.
5The Olot Button
The Olot Button is a safety-support feature that lets you alert selected trusted contacts when you need help. If you use The Olot Button, The Olot Calendar may process:
- your selected emergency alert message
- your selected trusted contacts
- trusted contact invitation status
- alert status
- location information, if location sharing is enabled
- an emergency audio call to your active trusted contacts, if you choose the message and call option
The Olot Button alerts are sent only to your active trusted contacts. Emergency calls run on the Daily.co calling platform.
6Location information
The Olot Calendar may use location information if you allow location access on your device. Location may be used to:
- help save or complete location details
- support saved locations
- include your location in an alert from The Olot Button, if you enable location sharing
- share your live location with your active trusted contacts after an alert, if you turn live location on
For The Olot Button, your location is captured when an alert is sent, if location sharing is enabled. If you also turn on live location, your position is updated to your active trusted contacts roughly every 15 seconds while the app is open, for up to one hour. Live sharing stops by itself after one hour, when the emergency ends, or when you stop it. Outside an alert, The Olot Calendar does not track your location in the background. Location accuracy may depend on your device, settings, network, and location permissions.
7Saved locations
You may save locations such as offices, meeting rooms, addresses, or places you use often. Saved locations are used to make future event creation and scheduling easier. You can manage saved locations inside the app where this feature is available.
8Trusted contacts
If you use The Olot Button, you may invite selected people to become trusted contacts. Trusted contacts must accept your invitation before they can receive your alerts from The Olot Button. Trusted contact information is used only to support the trusted contact and emergency alert features.
9Notifications
The Olot Calendar may send notifications for reminders, meetings, calendar updates, alerts from The Olot Button, trusted contact invitations, and other app-related updates. You can manage notification permissions through your device settings and, where available, inside the app.
10Third-party services
The Olot Calendar may work with third-party services such as sign-in providers, calendar providers, meeting and calling platforms, maps, app stores, payment providers, email delivery services, AI providers, and notification services. Examples include Google, Apple, Microsoft, LinkedIn, TikTok (sign-in), Google Calendar, Microsoft Outlook, Apple iCloud (calendars), Zoom, Google Meet, Microsoft Teams (meeting links), Daily.co (Olot meetings and emergency calls), Resend (invitation and account emails), Anthropic (Olot PA), Google Maps (maps and locations), and Supabase (hosting), depending on the features you use.
These third-party services are governed by their own privacy policies and terms. Olot Technologies is not responsible for the privacy practices of third-party services.
11Subscriptions and payments
The Olot Calendar may offer subscriptions, free trials, or paid features. Payments and subscription management may be handled by the relevant app store or payment provider. Olot Technologies may receive limited subscription status information needed to manage access to paid features.
We do not store full payment card details inside The Olot Calendar unless this is handled securely by an approved payment provider.
12How we share information
We do not sell your personal information. We may share information only when needed to:
- provide app features you choose to use
- connect with supported calendar, sign-in, meeting, map, notification, or payment services
- send The Olot Button alerts, live location, and emergency calls to your active trusted contacts
- show event details and attachments to the people on that event
- show your name, username, and profile picture to other Olot users who search for you (your email address is never shown)
- comply with legal obligations
- protect the safety, rights, and security of users, Olot Technologies, or others
13Data storage and security
We take reasonable steps to protect your information against unauthorised access, loss, misuse, or alteration. However, no app, system, or internet service can be guaranteed to be completely secure. You are responsible for keeping your account details secure and for using strong passwords where applicable.
14Data retention
We keep your information only for as long as needed to provide the app, support your account, comply with legal obligations, resolve disputes, improve security, and operate the service. Some information may be deleted when you delete your account or remove it from the app. Events and other data brought in from a connected calendar (such as Microsoft Outlook or Google) are deleted from our systems when you disconnect that calendar or delete your account. Certain information may need to be kept for legal, security, billing, or compliance reasons. Files attached to an event are deleted 30 days after the event ends.
15Your choices and rights
Depending on your location and applicable law, you may have rights to:
- access your personal information
- correct inaccurate information
- delete your account or request deletion of your data
- withdraw consent where processing is based on consent
- disconnect calendar accounts (for a connected Microsoft account, you can also remove The Olot Calendar's access on Microsoft's own site at account.live.com/consent/Manage)
- disable permissions such as location, microphone, photos, or notifications
- object to or restrict certain uses of your information
You can manage some of these choices inside the app or through your device settings. For privacy requests, contact Olot Technologies support.
16Account deletion
You can delete your account in the app (Settings → Delete your account) or at olot-tech.com/delete-account. Your account stays active for 7 days, and you can cancel any time in that period. After that, we delete your account and your data, except what's listed below. When it's done, we email you.
Deleting your account does not cancel an App Store or Google Play subscription. Cancel it there.
What other people still see: your messages in their chats show "This message is no longer available". Your name shows as "Deleted user" in their calls, Olot Button history, guest lists and notifications.
What we keep:
- A record of your subscription (plan, dates, the price the store charged and the store's number), with no name or email. We don't delete it.
- The link to your Google or Apple sign-in, until they confirm it's removed (7 days at most).
- Backups, for up to 7 days.
- Logs at the services we use: email up to 30 days; AI up to 30 days, or up to 2 years if Anthropic's safety system flags a chat as misuse (its safety scores for that chat up to 7 years); video calls up to 3 days; notifications 24 hours; our server 7 days.
- Apple, Google and RevenueCat keep their own purchase records.
17Children
The Olot Calendar is not intended for use by children unless this is clearly allowed by the app age rating, local laws, and applicable platform rules. If we become aware that personal information has been collected from a child without required consent, we will take reasonable steps to delete that information.
18International use
The Olot Calendar may be used in different countries. Your information may be processed or stored in countries other than where you live, depending on the services, hosting providers, and third-party tools used to operate the app. Where required, we will take reasonable steps to protect your information in line with applicable data protection laws.
19Changes to this Privacy Policy
We may update this Privacy Policy from time to time. If we make important changes, we may notify you through the app or another appropriate method. The latest version will be available inside the app and, where required, on the official Olot website.
